Price rules
Choose which of an item's saved prices fills the rate for one party and one item group — the purchase price on a sale, or the sale price on a purchase.
When you add an item to a document, its List Price starts from a price saved on the item. Administration → Setup → Price Rules lets you change which price that is for one party and one item group — for example, bill a sister concern at your purchase price — so the right rate fills in without anyone having to remember the arrangement.
Where the price comes from
| On these documents | The rate normally starts from | A rule can switch it to |
|---|---|---|
| Sale, Sale Order, Estimate | the item's sale price | the item's purchase price |
| Purchase, Purchase Order, Purchase Estimate | the item's purchase price | the item's sale price |
A rule applies when three things match: the party on the document, the item group of the item on the line, and the kind of document. Every other line keeps the usual price.
Set up a rule
- 1
Open Administration → Setup → Price Rules
The New Rule panel is on the left; your Saved Rules are listed beside it.
- 2
Pick the party and the item group
Choose the Account the rule is for and the Item Group it covers.
- 3
Choose the price
Under Show, pick Purchase Price to use it on sale documents, or Sale Price to use it on purchase documents.
- 4
Choose the documents
Under Transaction Forms, switch on each kind of document the rule applies to. Only the kinds that fit the price you picked are offered, and at least one stays on.
- 5
Save and bill
Choose Save Rule. From then on, a matching line takes the rule's price when you add the item. Edit and Delete on a saved rule change or remove it.
- Your discounts still apply on top of the price the rule picks.
- You can type over the List Price on any line. A price you typed yourself stays put if you change the party afterwards.
- Only a Master, Admin or Manager can add, change or delete rules; everyone else who opens the page sees the saved rules without changing them.
Rules vs. discounts
A discount trims the rate on a line; a price rule decides which of the item's prices the rate starts from. Use discounts for concessions on top, price rules for the base rate itself.
Discounts & bill sundries
Set the discounts that apply on top of the rate.
Sales, purchases & estimates
How the rate, the discount and the tax fill in as you add items.
